Salary Range

$54,000 - $60,000

The Alumni Records Specialist performs a wide variety of duties necessary to assist in
outreach and data management in support of international exchange alumni programming,
and in coordination with ECA offices, regional bureaus, other bureau offices, program
agencies, and posts. S/he provides data analysis, records management, and research with
regard to alumni participant records and data. S/he maintains a close and highly
responsive relationship with program staff and leadership in support of day-to-day
activities. S/he confirms and prioritizes project plans and deliverables as agreed upon by
the ECA COR and office supervisor.

Duties/Responsibilities

  1. International Exchange Alumni Website Portal Account Administration & Management:

  • Assist in bulk alumni record data uploads

  • Create and/or validate accounts for eligible users by verifying information from
    multiple sources

  • Manage the auto-registration process for the International Exchange Alumni
    (IEA) website

  • Coordinate with IEA website content managers and developers as needed

  • Manage user accounts in a CRM system (such as MailChimp or Salesforce),
    validating against the user database and removing duplicates

  • Create user mailing lists and segments, create and send periodic communications
    through CRM system

  • Communicate with overseas and domestic users and provide customer support as
    needed

  • Troubleshoot IEA website functions while coordinating with users and
    developers

   2. Data Analysis:

  • Continuously track, verify, and analyze alumni records in order to create custom
    reports on prominent alumni data

  • Respond to inquiries from ECA/P/A leadership about individual or thematic
    alumni records by creating specifically curated content reports

  • Oversee cyclical survey outreach to alumni

   3. Alumni Archive Database Manager Assistance:

  • Serve as a backup for Alumni Archive Database Manager assisting
    with Alumni Archive user’s registration and monitoring Alumni Archive mailbox

  • Compare statistics from various sources and assist the Alumni Archive Database
    Manager with identifying data gaps and scheduling data requests

Special Knowledge Requirements

  • A Bachelor’s Degree is required for this position.

  • Ability to obtain and maintain a security clearance at the Secret level.

  • Demonstrated skills or knowledge of global internet access and research capabilities.

  • Facility with standard software, including the complete Microsoft Office Suite
    (Word, Excel, Access, PowerPoint, SharePoint), and an ability to learn and work
    with other software, and database applications.

  • Strong, timely, and precise organizational skills and multi-tasking abilities.

  • Strong critical thinking and analytical skills.

  • Strong written and oral communication skills.

  • Ability to interact with all nationalities in a culturally sensitive manner.

  • Excellent ability to build and maintain strong working relationships with colleagues.

  • Strong ability to work independently, with minimal supervision, and multi-task
    in a high volume, fast-pace work environment.

  • Strong ability to also have a flexible, team-oriented approach to work.

  • Exposure to international educational and cultural exchanges, or other types of
    international programming or activities.

  • Exposure to U.S. foreign affairs agencies and/or international organizations.

  • Foreign language skills are preferred but not required.
